Example Scenario

Employee Joins: February 1, 2021

Annual Leave Entitlement: 8 days/year

Earning Method: Monthly Pro-Rate

System Calculation:

8 days ÷ 12 months = 0.667 days/month

From February to December (11 months):

11 × 0.667 = 7.33 days entitlement

Leave Balance Enforcement

Our system strictly enforces leave balances to prevent over-submission:

  • Real-time balance checking during submission
  • Automatic rejection of insufficient balance requests
  • Applies to all leave types (annual, sick, maternity, etc.)

Example: Employee with 2.67 days balance cannot apply for 3 days leave

Negative Balance Option

Configure specific leave types (like unpaid leave) to allow negative balances when needed.

Example: Unpaid leave can always be requested regardless of balance.

Configuration Guide

Setting Up Pro-Rate Leave:
  1. Navigate to Leave Settings
  2. Select your leave type (e.g., Annual Leave)
  3. Choose earning method:
    • Monthly: For pro-rate calculations
    • Every 1st Jan: For full annual allocation
  4. Set entitlement rules and start dates
Negative Balance Settings:
  1. Edit the desired leave type
  2. Locate "Allow Negative Balance" setting
  3. Set to Yes for flexible leave types
  4. Save changes
